The Bonadio Group is looking for a Receptionist in our Rochester, N.Y. office. The position requires a genuine interest in clients, prospects, and other visitors. Our Receptionist will ensure all incoming contacts with The Bonadio Group are welcoming and leave a positive impression, inclusive of current employees and team members.
Job responsibilities include but are not limited to:
Consistently be present at the front desk and greet visitors promptly and professionally; Answer all incoming calls for Rochester office, providing back-up phone coverage for other offices as needed; Professionally and effectively handle communications with internal personnel as well as external clients, providing excellent client service skills and upholding strict client/firm confidentiality; Provide enthusiastic, responsive service to all clients, visitors and co-workers; Maintain an attractive reception area and conference rooms
Assist with all security access cards for the firm as directed by the Office Managers; Assist Office Manager with submission of facilities tickets related to building maintenance needs as requested; Manage and schedule conference rooms, with thorough knowledge of details in each room as well as knowledge of video conferencing system; Arrange for alternative front desk coverage with other administrative staff during anticipated absences, breaks, Paid Time Off, etc.; Maintain records of and assist with the picking up of client documents including confidential tax returns and ensuring signing of e-file forms
Assist other administrative staff with overflow typing, mailing projects, and other tasks as required; Assist with other needs such as travel arrangements for employees, placing lunch orders for meetings, proposal assistance, billing assistance, time and expense entry, etc.
Ability to cross-train and learn others' administrative responsibilities to provide backup assistance as needed
Adhere to the highest degree of professional standards and strict client/firm confidentiality
Develop and maintain the technological skills required to function at peak efficiency, participating in training programs as required
Minimum three years of administrative, reception or relevant experience
Minimum three years of proven customer service success
Knowledge of typical office methods and procedures, filing, scanning, telephone techniques, and office equipment, as well as business English usage, spelling, grammar, and punctuation
Demonstration of an enthusiastic, positive, and welcoming personality; Strong verbal and interpersonal skills
Ability to multi-task and take direction, but also work independently; Excellent time management skills including planning and prioritizing
Superior level of accuracy in work and attention to detail
Expertise in Microsoft Word, PowerPoint, Excel, and Outlook
Ability to work in the office daily (Monday - Friday 8:00am - 5:00pm) with the ability to work additional hours during tax season and other time periods as needed
