New York Edge Program Department Administrative Assistant in Queens, New York

New York Edge seeks a dynamic, motivated and highly organized individual to fill the role of Program Department Administrative Assistant. In this full-time role, you will be responsible for providing administrative support in the management of the daily operations of Champions Club and Summer Camps.


  • Administration for S&S and Staples Accounts

  • Create and assign approvers for site accounts

  • Add shipping addresses for each account address

  • Assist Program Managers with approving orders facing technical issues

  • Maintain communication with Sales Representatives for each vendor

  • Manage Food Requests and Orders

  • Direct food orders to the correct approvers

  • Placing orders for Dominos and Panera

  • Communicate with food vendors to receive quotes for food orders

  • Manage communication between vendors and Program Directors for orders when they are experiencing food delays, order changes, or cancellations

  • Oversee InstaCart orders

  • Manage the InstaCart email

  • Assist with managing the InstaCart account by changing passwords or canceling orders that are no longer needed

  • Support Champions Club

  • Take attendance for Championships Club meetings and Special Initiatives

  • Manage Champions Club Events Calendars

  • Support Trip Training to include trainee registration, attendance and documentation of Attestation Completion of Training on Google Drive

  • Support New After School Program Directors [ASPD] Initiative

  • Schedule monthly sessions and email reminders to participants

  • Take attendance at sessions

  • Assist Sr Director, Champions Programs with session agendas and PowerPoint presentations

  • Create and distribute Certificates of Completion

  • Communicate with Human Resources Training Manager to ensure SACC licensing is documented correctly on each certificate

  • Assist the Summer Programming Team

  • Participate and contribute to planning meetings

  • Complete tasks assigned by Summer Program Manager

  • Work closely with Program Manager of Summer Camps to support summer camp team at program events in an administrative capacity including presence at major events (arts, sports, citywide trips and staff training).

  • Respond to inquiries received from the Summer Hotline.

  • Other Duties as assigned


  • Demonstrate ability to take initiative, work well under pressure and multi-task in a high demand and fast paced environment

  • Effective communication and interpersonal skills with internal and external stakeholders

  • High attention to detail, responsible, and flexible demeanor

  • Computer proficiency

  • Ability to handle confidential and sensitive information with discretion

  • Occasional late evening and Saturday work schedule

  • Proof of Covid-19 vaccination is required for employment


  • A belief in the mission, values and goals of New York Edge

  • Bachelor's Degree preferred or relevant experience in lieu of a Bachelor's degree

  • At least three years of relevant administrative experience.

  • Excellent written and personal communication skills, including strong grammar and editing skills

  • Excel, Word, Power Point, Google Docs, creating graphs and other presentation documents

  • A goal-oriented focus and a strong commitment to meeting competing deadlines

  • A positive, enthusiastic, and creative approach to problem-solving

    Salary is commensurate with experience and qualification
