Job Responsibilities:
This is a full-time, in-person, non-exempt position reporting to the dean for Undergraduate Education and associate provost for Student Success. Normal work hours are 8 a.m.-5 p.m. Limited evening and weekend work may be required. Flexible scheduling may be available during breaks and over the summer.
The administrative assistant is responsible for comprehensive executive administrative support to the dean for Undergraduate Education and associate provost for Student Success. The successful candidate will perform diverse and complex functions that require excellent judgement as well as outstanding planning, communication, and organizational skills. The administrative assistant is the first point of contact for the dean/associate provost’s office and must be an accomplished critical thinker and problem solver with outstanding customer service skills.
The administrative assistant’s responsibilities include, but are not limited to:
Providing high-level administrative support for the office’s initiatives and programming related to the day-to-day operations as well as strategic initiatives.
Providing administrative support to the dean/associate provost such as managing the dean/associate provost’s calendar, handling confidential information, researching and preparing correspondence, reports and presentations, scheduling meetings and managing associated logistics including taking minutes, making travel arrangements and related tasks, and triaging and coordinating responses to student/parent inquiries.
Supporting specific student success initiatives including the Student Success Steering Committee; DFW Working Group; First Year Registration task force; AALANA Student Success Initiatives. The administrative assistant will arrange meetings, prepare meeting materials; prepare minutes, support plan of work, etc.
Providing support for outreach to Academic Success Center in student success planning
Assisting with preparation of capital budget requests and operating budget requests
Providing support to Phi Kappa Phi campus chapter
Providing office coverage as needed for the Office of the Provost second floor suite and Academic Affairs events

Required Qualifications:
5-10 years of related professional experience required, preferably providing executive-level support in higher education
Ability to manage multiple priorities and complete work with attention to detail and under time constraints with minimal supervision and broad direction
Ability to think critically and strategically; anticipate, analyze and solve problems quickly and efficiently, and apply sound judgment
Demonstrated ability to create, edit, proof and format documents, reports and presentations
Ability to work with diverse individuals at all organizational levels
Ability to manage confidential information and apply good judgment
Demonstrated expertise using Microsoft Outlook, Word, Excel, PowerPoint or similar software
Excellent communication skills, both written and verbal
Ability to work independently and as part of a team
