Description

The Department of Social Work (BSW & MSW)is seeking apart time (23.5-29 hrs/week average within the year; reduced hours in the summer); ,Administrative Assistant & Program Coordinatorto facilitate the effective functioning of the department faculty, assist the BSW and MSW programs, and serve as the program coordinator for the undergraduate social work programs.

Create and maintain contracts for all faculty and adjuncts during the fall, spring, and summer semesters. Send out department emails to students and collect responses as needed. Manage the budget for the department, which includes maintaining accurate records and keeping track of individual faculty growth expenditures.

Plan/coordinate Phi Alpha Award Ceremony. Provide support for internal and external special programming: NASW, NACSW, and Advisory Board. Prepare and provide course evaluations for faculty/classes. Maintain faculty and adjunct files. Coordinate faculty desk/exam copy requests. Coordinate and/or set up new faculty offices and arrange for computer and telephone service and keys. Track all paperwork, work schedules, and manage time cards for student workers. Manage the Department’s schedule as well as committee and task force meetings for the academic year. Attend scheduled monthly SWK Department Meetings and record minutes. Assist in the MSW hooding ceremony.

Provide administrative support to the Program Director and faculty. Schedule workgroup meetings. Maintain and regularly update the traditional undergraduate BSW student advisor list, including reviewing and revising the list two weeks before each semester. Maintain traditional undergraduate BSW and NTSWK web/Intranet pages. Record meeting minutes and distribute agenda and supporting documentation for the undergraduate program Workgroup. Assist in updating BSW and NTSWK Catalog. Coordinate BSW and NTSWK student mailings regarding application to the major; prepare and maintain Application for the Major student packages. Assist in updating BSW and NTSWK Student Handbook annually (hard copy and online). Score exams for faculty using scantron sheets.

The approved salary for this position is $16.25-$16.75/hourly.

Requirements

Associate’s degree required. Bachelor’s degree preferred. Must have two-three years of previous office experience, preferably in an academic environment. Must demonstrate positive interpersonal skills in communication (written and verbal), administrative task management, and customer service. Excellent MS Office skills, particularly Word, Excel, Publisher, and MS Outlook. Must be able to multitask effectively and work effectively under time constraints. Creative thinking, a desire to take initiative, and a commitment to continuous process improvement are essential. A successful candidate will be able to demonstrate cultural competence and must value the principles of diversity and equity.
