In coordination with the Dean, Associate Deans, and directors of the Warner School, manage the administrative affairs of the school relative to finance, human resources and facilities; supervise the Finance Office staff.
Manage the Financial Activities of the School
In collaboration with the Dean, prepares, negotiates, and monitors the school's annual budget. Related activities include:
monitoring and projecting annual enrollment as it relates to tuition revenue and operations;
revenue planning, including tuition and indirect cost recovery;
monitoring expenses relating to instruction, student services, development, administration and facilities;
planning and monitoring the use of endowment and gift funds;
developing capital budgets and monitoring financial activity related to renovations;
quarterly variance reporting to the Budget Office, and
entering the annual budget into the URBudget system.
Utilizing the Warner Student Aid database and reporting functions to effectively manage accurate processing of Warner-provided student financial assistance and doctoral assistantships in coordination with Finance staff, Admissions/Student Services and the Associate Dean for Academic Programs.
Serve as resource and advisor to program chairs, directors and faculty on financial analyses, program costing, and developing financial management skills.
Use various files and systems to record and monitor financial activity through URFinancials; maintain financial spreadsheets and files in order to accurately reflect the school's financial position.
Supervise accounts payable functions, including processing and approval of RFPs, Travel and Conference Reports, etc.
Responsible for the timely closing of accounts at fiscal year-end. Coordinate the completion of all annual financial reports.
Serve as the School's primary liaison to the University’s Budget Office, Accounts Payable, and Purchasing departments, as well as the Bursar’s Office for issues related to financial aid awards.
Responsible for financial matters related to the East EPO, including processing all payments from the East EPO gift account and preparing detailed semi-annual invoices for the Rochester City School District.
Obtain/maintain Continuous Learning for Administrators of Sponsored Programs (CLASP) certification.
In conjunction with the Assistant Dean for Grants, oversee annual compliance reporting, including Conflict of Interest, Planned Confirmation System Review, Summer and Cost Sharing Certifications, URSpace and Equipment Inventories, Foreign Activities Report and the Faculty Median Income Report.
Communicate timely and effectively to stakeholders regarding issues
Manage Human Resources Functions for the Warner School
Responsible for the timely and accurate preparation of forms/requests for recruitment, appointment, termination, leave of absence, disability, account reallocation, and extra compensation for faculty and staff.
Manage payroll and related time reporting for paid doctoral students and provide back up to approve faculty and staff payroll as necessary.
In cooperation with the Associate Deans, interpret and implement University HR policies (e.g., FLSA). Serve as liaison to River Campus Human Resources, the UR/HR Service Center, and Payroll.
Responsible for hiring or reappointing adjunct faculty and supervisors, preparing their contracts and processing their compensation.
Manage processing of all extra and summer compensation.
In conjunction with the Dean and Assistant Dean for Strategic Initiatives, coordinate the School's annual performance evaluation process for staff.
In conjunction with the Dean, prepare and implement the annual wage and salary program for faculty and staff.
Prepares school-wide reports as needed.
Special Projects as Assigned by the Dean
Special projects may include financial and employment data for UR institutional reporting, and accreditation.
Bachelor's degree and 5 years relevant experience including at least 2 years at a managerial level; or equivalent combination of education and experience. Master's degree, equivalent course work, or specialized experience in an appropriate field related to the assignment is desirable.
Master's degree and 8+ years of progressively responsible experience.
