  • This is a staff position that reports directly to the Associate Vice President for Academic Services but also serves as the only support staff for: Assistant to the Provost, Assistant Director, Academic Learning Environments and Senior Budget Specialist.

  • This staff position serves as the primary back up for the Executive Secretary to the Provost and provides administrative and technical support for the Vice President's office within Academic Services. This position holds various divisional and college-wide responsibilities, including communicating administrative directives and policies throughout the division.

  • Assists as expert resource in administrative technology (Office, audio conference/webinars, etc.) and trains other staff as needed.

  • Updates divisional websites using TYPO3 software with ADA compliance.

  • Serves as timekeeper for Provost including maintenance of shared calendars, suite calendar, and summer flex.

  • Use of the BANNER system for enrollment, personnel and financial reporting.

  • Designs and creates reports using Argos software.

  • Creates presentations and materials for divisional communications using PowerPoint, InDesign, Adobe Creative Suite, and Visio in updating divisional materials such as the Faculty Resource Manual and organizational charts.

  • Designs and maintains Excel spreadsheets as well as Access and Lotus databases and acts as a resource person for these software programs including reporting and assisting other staff with the software.

  • Coordinates administrative calendar, updates annually, and sends Outlook reminders to department chairs.

  • Serves as intake for Academic Grievance process and other academic complaints including required documentation in Maxient.

  • Processes divisional purchase requisitions including all classroom equipment and administrative travel requests.

  • Triages internal and external problems and exercises independent judgment in their follow-up and resolution.

  • Drafts correspondence to students, faculty and staff as well as external constituents.

  • Designs and maintains complex tracking systems for administrative responsibilities.

  • Provides leadership and direction for office workflow; hires, supervises, and evaluates student aides and interns.

  • Works as a team member on collaborative divisional projects.

  • Convenes suite meetings and sets agenda.

  • Acts as a back-up and provides coverage for divisional support staff as needed.

  • Establishes and maintains confidential/general office files.

  • Perform other duties and responsibilities assigned by the Associate Vice President, Academic Services.

    Job Requirements:

  • Must currently hold the Monroe County Civil Service title of Management Assistant or be on the current eligible list for this title.

  • Must be a Monroe County Resident.

    Additional Information:

Job Type: Full time, Contingent- Permanent (Promoted employee must successfully pass his/her probationary period).

Hours: 8:45am-4:45pm

Salary: As per CSEA contract
