Detailed Job Description:
Provide high quality and timely assistance to the Senior Associate Dean and all faculty in a variety of administrative processes and projects at the dean’s office. Demonstrate initiative and leadership in facilitating communication with different stakeholders, coordinating tasks, coaching others in new skills, and facilitating team-based environment by willingly providing backup for other staff at the dean’s office when needed. This position reports to the Senior Associate Dean.
Develop and maintain SCB’s calendar for administrative actions, Dean’s Executive Council meetings, Admin Council meetings, faculty/staff meetings and special events. Includes taking meeting minutes and following up on action items.
Assist in guiding the tenure and promotion committees annually by coordinating committee chairs, tracking the terms of members and organizing all files and documents. Provide administrative support to Senior Associate Dean/Dean by tracking and providing information/data regarding SCB promotions and tenure. Responsible for collecting and submitting tenure and promotion packages to the provost office.
Record faculty information into SCB databases (resume, transcript, and certification) for AACSB review purposes. Serve as the point of contact for the Sedona system. Responsible for various data conversion and entry into the Sedona system each semester. Update faculty profile, status, committee assignments, teaching schedule and student evaluations in the Sedona system as needed.
Work with Senior Associate Dean and department chairs on annual committee assignments and help draft committee charges. Keep track of university and college level committee assignments and serve as the contact person with academic senate on any changes to AS and university committee memberships.
Work with the Senior Associate Dean to manage, update and revise SCB policies, procedures and staff position descriptions as needed.
Update and maintain the SCB database on current faculty/staff in terms of date of hire, title, rank, tenure and promotion review schedule, etc. Update and maintain the SCB organization chart and the department structure document.
Support the faculty annual review process and work with department chairs to copyedit faculty annual evaluations as well as distribute to faculty. Keep track of faculty annual evaluation summary data and provide to the financial analyst.
Coordinate the processes for receiving and reviewing faculty applications for FEAD grant, summer scholarship grant, and student research grant, and follow up on grant reports from the recipients.
Work as the SCB contact with the Office of Compliance and Ethics to follow on faculty annual conflict of interest reporting, annual training on Title IX and cybersecurity, as well as responding and gathering documents for visa and immigration related issues for new faculty hires.
Maintain open communication and information sharing with PSAs and other staff in the dean’s office. Be proactive in learning new skills and looking for ways to improve process efficiency and project quality. Coach other staff for new skills.
Have strong task and customer service orientation. Take the lead in coordinating tasks involving multiple departments and willingly cover for others when needed. Willing to take on new challenges and responsibilities when needed.
Other duties including but not limited to the following:
Coordinate the process for soliciting and reviewing faculty professional leave applications.
Coordinate the process for soliciting annual plans of work with endowed professors and schedule POW meetings with Senior Associate Dean.
Coordinate the process for reviewing and awarding emeritus status to retired faculty members.
Work with PSAs on reviewing and finalizing adjunct contracts and request signature from Senior Associate Dean.
Coordinate with the Academic Integrity Committee as needed and provide guidance on the timeline and proper procedure for reviewing student conduct and grade dispute cases.

Required Minimum Qualifications:
Three to five years of experience working in an administrative setting. Experiences working with faculty in academic institutions preferred.
Strong organizational skills, attention to detail, ability to prioritize and manage multiple tasks, and ability to complete projects under time constraints
Ability to handle highly confidential information in a professional manner
Strong computer skills (internet, Microsoft office suite, Outlook email)
Strong data management and analysis skills using Microsoft Excel
Strong interpersonal skills and an ability to work effectively with others in a team environment;
Verbal and written communication skills
