Position Title:

Senior Staff Assistant


COS Center for Imaging Science

Job Responsibilities:

Fulfill a critical role within our academic department by providing student financial support and processing.

Responsibilities include:

  • Process and verify student payroll to ensure timely and accurate payments.

  • Manage all administrative tasks related to student employees, including employment verification, hiring, status changes, funding adjustments, wage reviews, terminations, and setting up direct deposits.

  • Manage graduate student stipend disbursements and assist with related financial inquiries.

  • Administer graduate tuition benefits in accordance with departmental policies and procedures.

  • Collaborate closely with other RIT departments (Financial Aid, Student Employment Office) to resolve financial challenges promptly.

  • Maintain accurate records and documentation related to student financial transactions.

  • Provide excellent customer service to students and faculty regarding financial matters.

  • Manage Employee Action Forms (EAFs) including monthly salary redistributions, summer salary payments, and consultant contracts.

  • Assist with department hiring paperwork, including posting jobs, scheduling candidate review meetings with search committee, scheduling interviews, dispositioning candidates, facilitating onboarding process with final candidate.

Required Qualifications:

Two years of office/administrative experience.

Comfort using computer technology and applications, and willingness to learn new technologies.

Strong skills with Microsoft Excel and Google Sheets.

Solid arithmetic ability, including fractions and percentages.

Competent with Microsoft Office or Google Workspace tools.

Critical thinking and problem solving skills.

Uncompromising attention to detail.

Excellent customer service, particularly with students.

Preferred Qualifications:

Demonstrated financial skills.

Experience with timekeeping software, ERP systems.

Budgeting or bookkeeping experience.

The imaging science department at RIT is a dynamic academic department and research center with approximately $5M in annual research expenditures, comprising 40 research faculty and staff, 40 undergraduate students, and 80 MS/PhD students.
