Job Responsibilities:
The NTID Outreach Consortium is responsible for the establishment and operation of educational activities designed to build up NTID’s pipeline of prospective deaf and hard of hearing (DHH) students and to share NTID resources externally. The primary purpose of the Consortium is to offer various training and educational programs, workshops, and technical assistance to address the educational, transitional and professional development needs of secondary DHH students and their families, educators, and other professionals working with such students.
The Outreach Consortium provides approximately 15-20 programs annually serving over 1,000 prospective secondary DHH students and their families, and over 250 educators and professionals serving such.
The NTID Outreach Consortium works in partnership with multiple departments and programs within and outside of NTID including but not limited to: NTID Regional STEM Center (NRSC), NTID Admissions, NTID Office of External Affairs, NTID Academic Affairs, RIT K-12 Programs, and state vocational rehabilitation agencies to achieve programming goals.
The Outreach Program Assistant position will support the Outreach Department with the coordination of internal and external outreach programs through the planning and monitoring of outreach communications with external audiences and prospective student database systems. The position will work with the Outreach, Marketing Communications and Enrollment Management teams on the maintenance of the Institute database to support overall operational and recruitment efforts.
Must be able to work evenings and weekends as assigned / needed.
NOTE: The term ‘program’ will be used to refer to all activities including but not limited to: competitions, camps, conferences, fairs and the like.
Responsibilties:
Provide programmatic support (in the form of creating, establishing and revising office procedures and processes, detailed in the third and fourth sections and interspersed below) to the entire Outreach Consortium including the Senior Director, Associate Directors, and Assistant Directors.
Responsible for continuing communications (both electronic and paper) with external population to market programs and complete all registration paperwork and assist with conducting outreach to encourage participation. Correspond with external contacts (i.e., high school guidance offices, teachers, parents, related service providers) as the point of liaison to encourage participation in Outreach programs
Assist the Senior and Associate Directors in maintaining data collection and tracking for the purpose of evaluating impact of programs on enrollment pipeline and retention. Set up all registration systems for programs. Track details in Outreach database and outcomes in reporting formats for analysis. Work with all Directors in researching and conducting independent data analysis to provide solutions to various administrative problems and/or complex inquiries. Work with TIS programmers to decide on updates and/or changes requested by Outreach and their priority.
Work collaboratively with Senior Director and Assistant/Associate Directors to determine communication and recruitment strategies. Participate in ongoing monitoring, and database development/ management to ensure data integrity and clarity. Participate in management of monthly data collection and reporting system, and other logistics as needed.
Manage solicitation for bids and participate in negotiations for services/ supplies; maintain and update database of outside vendors for outreach efforts. Create purchase requisitions for all programs.
Reconcile monthly and year end budgets for Outreach Consortium (total of 4 separate department and18 budget areas to manage); post journal entries into Oracle; process payments for program fees; reconciliation of monthly pro-card statements; manage travel arrangements and process reimbursements. Create invoices to VR offices for programs.
Assist Associate and Assistant Directors with logistics for outreach events (e.g. reservations, confirmations, ordering of meals and refreshments, travel arrangements of access servies). Work with sales and catering managers to negiotate and decide on costs and logistics. Analyze all program needs in order to estimate needs and request pro card increases. Assist with all day-of-event on-campus programs execution
Coordinate mailings for program marketing; coordinate VR and other billings for Outreach programs
Manage purchasing, assembling and shipping of supplies and activity kits for Outreach programs
Manage registration of students for Outreach programs utilizing databases. Review and decide summer program applicants’ status for acceptance to programs based on transcript and audiogram received.
Independently oversee front office and interview, hire, train and manage student desk assistants and other student employees, and lead student teams for programs (with guidance from Senior Director). Process faculty and staff contracts, and paperwork for hiring of student assistants. Create and continually revise work processes for office operations

Required Qualifications:
Education/Experience:
Associate’s degree: Human and/or Social Services, Education, Business, Communication, or related field
3 – 5 years related experience
