Supports a large academic/research department. Reports to the Department Manager and the Chair of the department. Manages 100-110 accounts with approximately $9.2m of expenditures. Accounting responsibility for 20+ faculty members as well as 2 department operating accounts, new faculty start-up accounts, endowments, service center, and other special accounts. Performs professional accounting work within several areas of the university accounting system; financial reporting, cost analysis, classification of accounts and funds, and grant accounting. Serves as the contact person for faculty in matters related to grant budgets and expenditures.
30% Assists faculty with budgets for grant proposals and enters the budget into ASSIST/Fast Lane and IORA. Works with the Office of Research and Project Administration (ORPA) to set up and maintain funded projects. Projects expenditures required for annual reports to funding agencies. Works with the Office of Research Accounting and Costing Standards (ORACS) on annual and end-of-project financial reports used to close out grants.
30% Designs financial reports for the Chair for all department expenditures and provides cost analysis and recommendations. Responsible for oversight and reports of all grants and accounts, including project expenses, cost analysis, review and control of expenditures. Responsible for processing salary distribution updates in HRMS. Advises faculty on university policy and federal guidelines. Interprets university accounting systems to department.
15% Oversees the business office and meets with the Department Manager monthly to discuss progress. Directs the business office staff in accounting matters related to their respective areas. Updates FileMaker with new awards/award changes.
10% Prepares special reports tailored to the needs of the College, which include forecasting expenditures to start-up accounts, college operating and special budgets, and academic year salary recovery reports. Attends Capital Budget meetings.
5% Collaborates with the Facilities Manager to complete the University Space Survey. Collects all the personnel, grant accounts, and room usage data for the report and enters it into the system.
5% Consults with university auditors on policy and procedural questions. Responsible for annual employee effort certification. Works with ORACS on annual Planned Confirmation System Review and summer salary certification.
5% Works with the Dean’s office on actions involving faculty salary and summer salary issues as they relate to grant charges.
Bachelor’s degree in business administration or accounting with 5-6 years’ experience in academic department/university accounting. Position calls for significant and advanced knowledge of data management. Must possess strong knowledge of Microsoft Suite (Word, Excel, Outlook), FileMaker Pro and/or Access, and be comfortable working within web-based systems. Must also be familiar with accounting software such as Workday and IORA. Certification in CLASP administration is preferred. Ideal candidate will have excellent accounting skills. Strong interpersonal, written and verbal communication skills, and analytical skills are essential. Position calls for professionalism, confidentiality, tact, diplomacy, and organization.
