Carrols Corporation Administrative Services Assistant in Syracuse, New York

Carrols Restaurant Group, Inc., an established, publicly traded corporation, located in Syracuse, NY, and one of the largest restaurant companies in the US, has an excellent opportunity in our Office Services Department for an Administrative Services Assistant.

SUMMARY:

Coordinate and process to ensure a high volume of incoming and outgoing interoffice and external mail is processed in an efficient, accurate, and timely manner according to public and private mail guidelines and Company policy. Perform Receptionist, as needed, for additional coverage.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs receptionist duties, as needed, for coverage for breaks/lunches. Refer to Receptionist job description for job responsibilities.

  • Pick up interoffice mail in each department, sort, and distribute internally and prepare for external mailing.

  • Prepare weekly shipping of mail to Region Offices and District Managers.

  • Respond to calls regarding mail and supplies.

  • Ensure mail supplies are available.

  • Pack and ship products according to public and private mail codes.

  • Daily pick up of mail including packages, from USPS.

  • Monitors holidays to ensure shipping/receiving handled according to various schedules.

  • Responsible for the operation of postage, folding/stuffing machines. Maintain, assist and train others on the use.

  • Order, stock/restock supplies for kitchens and vending machines.

  • Provide backup to Building Maintenance Coordinator & Office Services Coordinator including snow removal from driveway, parking lot, and sidewalk if needed.

  • Other duties as assigned.

QUALIFICATIONS:

  • An individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION & EXPERIENCE:

  • Two-year degree with relevant work experience preferred/High School diploma required.

  • One to two years experience in operations of mail departments required.

  • Knowledge of public and private mail regulations desired.

  • Valid New York State driver’s license required.

LANGUAGE SKILLS:

  • Must have good customer service skills.

  • Must be able to perceive and react to the needs of others.

  • Must be organized, flexible and able to deal with various personalities.

COMPUTER SKILLS:

  • Experience with Microsoft Exchange, Microsoft Word, Excel required. Other related software is a plus.
