Development Assistant Syracuse Stage, the professional theatre in residence at Syracuse University, is accepting applications for a Development Assistant. Responsible for processing all incoming donations, grants, and other monetary support. Oversees donor benefit administration, executes donor-recognition events, and issues donor acknowledgment letters. Assists the Assistant Director of Development with basic grant writing. Excellent organizational, written, oral communication skills a must. This position requires strong clerical skills including proficiency in Microsoft Word and Excel. Database experience a plus. Please don’t hesitate to apply and tell us about yourself. Key Duties and Responsibilities: 1. Assist the Director of Development in all individual giving campaigns related to Syracuse Stage. 2. Maintain and monitor sponsorship needs of all corporate, foundation, government and individual donors. Work with development staff to enhance communication with donors and build relationships. This includes but is not limited to the following: - Track and assure all benefits are delivered to donors, i.e. program ads, correct program credits, logos, etc. in brochures, posters, banners, front of house, and Stage web site. - Work with graphic designers and donors to secure program ads. - Oversee performance specific benefits, including arranging tickets, and production-related benefits. - Invoice and track pledges and payments from sponsors and donors. - Generate and manage thank you/acknowledgement letters for donations 3. Develop and maintain all records for fundraising campaigns, including fund status updates for meetings as needed. Execute gift processing and billing, including processing regular gift deposits. Work with Business Office to reconcile gifts and pledges on a regular basis. 4. Work with Director of Development to execute all giving campaigns, including managing and executing timelines and mailings. Work with database manager as needed to procure all mailing lists for development office. 5. Track and maintain inventory for all development letterhead, remittance envelopes and all other office supplies. 6. Manage development database in Patron Manager and maintain an updated internal development tracking list. Work with database manager and Director of Development to research giving prospects. 7. Coordinate individual donor events - including Opening Night Dinners, Tech Previews, Circles event, Meet and Greets, Sneak Peek Party). Tasks include sending and tracking invitations, coordinate catering, and staffing events. 8. Assist with fundraising events, specifically the annual Gala, duties include: - Track and ensure benefits are delivered to sponsors including ads, logos, videos, business names and any other benefits. - Generate all invoices - Collect all guest table forms and individual attendee names - Post all payments in Patron Manager - Generate tax donation letters and distribute post-event 9. Assist the Assistant Director of Development with basic grant writing including: - Inserting generic contact information - Inserting boiler plate statements - Compiling and attaching annual budget, board list, audit, and other pre-prepared documents 10. Attend season opening, opening night and other events as necessary. 11. Participate in rotating concierge schedule. 12. Other duties as assigned by the Director of Development and the Assistant Director of Development. The description of the position in this document is representative and not exhaustive. Duties and responsibilities may shift with organizational needs Position Dates and Salary: This is a full-time, year-round, non-exempt position with an annualized salary range of $31,000-$33,000/yr and a robust benefits package. The position has a guarantee of 40 hours a week and is eligible for overtime. Note: This position’s daily hours may fluctuate due to project schedules and performances, but overall hours and boundaries align with work/life balance. Physical Demands & Working Conditions: Work is generally performed during working day hours. This position requires extensive time sitting down and in front of a computer. Some events may require evenings or weekend work. Position requires Employee will be subject to abide by all Covid rules set forth by the State, University, and Actors Union.
