Job Description:

Summary: The Coordinator of Conferences and Events is responsible for assisting with the day-to-day operations and year-round logistical coordination of Russell Sage College's (RSC) conferences and internal and external events (including admissions, athletics and academic programming). The individual is responsible for working with the Senior Coordinator of Conferencing and Event Services with rental of facilities and coordinating scheduling and logistics for both external and internal camps, conferences, workshops and events. This is a full- time,12-month position, mainly based on the Troy campus.

RESPONSIBILITIES

  • Specific responsibilities include, but are not limited to

  • Responsible for assisting in the day-to-day operations of the department and its staff.

  • Process space requests made by internal and external clients.

  • Recruits, trains, and supervises student conferencing staff.

  • Assist in developing plans and coordinates large scale, high profile events and summer conference/off season rental opportunities generating net revenues to the goal.

  • Coordinates all conferences, events and camp schedules and assigns facilities for all internal and external events and programs and serves as the main point of contact for all events.

  • Maintains scheduling database and works with various stakeholders to communicate schedule/facility changes to appropriate parties.

  • Assist in developing and updating strategic plans and yearly goals in conjunction with the supervisor.

  • Works closely with college stakeholders to develop and implement policies and procedures related to conference services; assessment of health and safety and related risk issues.

  • Coverage of internal and external events and conferences on evenings and weekends when necessary.

  • Communicates and resolves problems effectively and in a timely manner with event organizers.

  • Generates contracts and insurance requirements, monitors compliance with policies for conferences and events.

  • Assist in maintaining a database of contracts, insurance, and fire marshal approvals for events.

  • Obtains detailed information from client on event type and event requirements to ensure the success of the event .

  • Works closely with the Facilities staff to ensure timeliness, appearance and cleanliness of the space as appropriate to the client.

  • Serves as a liaison between the conference and event staff and the service and support departments to ensure success of the event.

  • Ensures that all events and camps comply with all government regulations and college policies and procedures.

  • Maintains and accounts for all equipment within the department.

  • Performs other duties as assigned

The estimated wage range is $17.00 to $18.00 per hour for 37.5 hours per week for 52 weeks.

Requirements:

Education and experience equivalent to: Associates degree preferred, prior conference and event scheduling preferred. The candidate must be available to work evenings and weekends as needed.

  • Proficient in Microsoft Office and Google Suite

  • Possesses knowledge of basic meeting and conference planning procedures

  • Prior experience in scheduling software preferred

  • Will train the right person
