Director of Scheduling

In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. HVCC does not support Visas. Applicants must currently hold an unrestricted employment authorization to work in the United States and appointment will be contingent upon completion of a background check.

Qualifications for Employment

Minimum Qualifications:

Bachelor's degree and a minimum of four (4) years of professional experience managing and scheduling projects. Strong information technology literacy skills, such as Microsoft Office (i.e., Word, Excel, PowerPoint, Outlook, Teams, etc.). Excellent problem-solving skills using data analytics software and tools. Experience with academic accreditation standards and processes. Experience working in an environment with collective bargaining agreements. Excellent interpersonal and communication skills. Experience scheduling academic programs and/or facilities, including using college scheduling software tools (e.g., Ad Astra, Coursedog, etc.), is preferred. Experience supervising personnel preferred.

Nature and Scope of Duties:

The Director of Scheduling reports to the Vice President for Academic Affairs and/or their designee and performs the following duties:

Primary responsibility for the development of the day, evening, intersession, and summer Master Schedules in accordance with all collective bargaining agreements, including but not limited to the delivery of schedules, services, and programs to on- and off-campus constituencies.

Works in coordination with the academic Deans and Department Chairpersons to ensure the accuracy of the Master Schedule and develop appropriate initiatives to resolve scheduling concerns.

Administrator and subject matter expert utilizing the course scheduling software. Primary point of contact with course scheduling software provider.

Coordinates reservations of classrooms required by on/off campus organizations.

Works with the Center for Access and Adaptive Technology to adjust the Master Schedule to accommodate students' needs.

Provides academic support as necessary for credit and non-credit course offerings.

Prepares faculty payroll and statistical reports that relate to room utilization, faculty load analysis, and student contact hours.

Maintains forms and validation tables related to the Master Schedule, faculty, and room data.

Works with student services departments to resolve scheduling problems pertaining to student enrollment and faculty contracts.

Prepares reports and provides the College scheduling information.

Works with local school districts/BOCES and college departments to coordinate the College in the High School academic offerings.

Provides training for Deans, Department Chairpersons, and other academic staff for Faculty load, Master schedule, and other areas related to the Scheduling Office.

Performs related duties as assigned.

This is a full-time 12-month Management Confidential position with a salary range of 52,000.00 to $53,000.00.
