Summary:

New York Edge is seeking a qualified and highly motivated candidate to fill the Executive Assistant role. You will perform various administrative tasks in this role, supporting our Chief Operating Officer. To succeed in this role, you should be well-organized, have great time management and customer service skills, and act with minimal guidance. Ultimately, you will contribute to the efficiency of our organization by providing personalized and timely support to our operations.

Job Type:

Full-Time

Salary range - $60-$65

Responsibilities:

  • Act as the point of contact between the Chief Operating Officer (COO) and leadership, staff, and external contacts

  • Manage scheduling and projects

  • Manage information flow in a timely and accurate manner

  • Manage calendars, set up meetings, and take meeting minutes

  • Handle expenses and prepare reports

  • Prepare and format information for internal and external communication – memos, emails, presentations, reports, etc.

  • Screen and direct phone calls and distribute correspondence

  • Receive, sort, and distribute daily mail/deliveries

  • Greet and welcome guests as soon as they arrive on the second floor

  • Direct visitors to the appropriate staff and office

  • Answer, screen, and forward incoming phone calls

  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

  • Order front office supplies and keep an inventory of stock

  • Perform other clerical receptionist duties such as filing, photocopying, and faxing

  • Professionally represent the organization during internal and external interactions

  • Other duties as assigned

Required Skills:

  • Proficient in the use of Microsoft Excel, PowerPoint, and other databases

  • Strong organization skills; the ability to manage competing priorities such as daily interactions, scheduling, and projects

  • Strategic thinker and strong problem-solving skills

  • Excellent time management skills

  • Attention to detail; great interpersonal skills

  • Ability to be resourceful and proactive when issues arise

  • Excellent verbal and written communication skills

  • Professional attitude and appearance

  • Multitasking and time-management skills, with the ability to prioritize tasks

Qualifications:

  • Bachelor’s Degree

  • Minimum of at least two (3) years of experience working in an office setting

  • Certification in Office Management is a plus

*Salary is commensurate with experience and qualification

COVID-19 Related Requirements:

  • Proof of COVID-19 Vaccination required

  • Must be willing to follow all Federal, State, and Local guidelines and mandates regarding COVID-19 such as wearing PPE and remaining socially distant.
