The Finance Department at our Eastern Territorial Headquarters has an opening for an Administrative Assistant. The primary purpose of the Administrative Assistant is to provide secretarial support to the Assistant Territorial Finance Secretary, Territorial Finance Secretary. Territorial Director of Corporate Finance (DOCF) and Territorial Controller, in expediting the workflow for these offices with minimal supervision.Based in West Nyack, NY this position requires approximately 35 hours of work per week and may be eligible for a hybrid work arrangement.Responsibilities: Territorial Finance Council (TFC)Prepare, process and distribute: the agenda, minutes, NOA’s and correspondenceResponsible to enter TFC items in TSAMM - ensuring accuracy, consistency, grouping of agenda items and journal all issues within TSAMMHandle all correspondence for the USETFC email accountContinually review procedures and update accordingly for back up personnelMaintain a bring up system (BUP) for Territorial Finance CouncilMaintain the Mission Support Database (THE HIVE), by making appropriate entries subsequent to TFC decisionsPersonally provide for the clerical, administrative and communication needs of the office of the ATFS,TFC, the DOCF, Territorial Controller and staff when neededAssist on inquires and relay messagesProcess incoming and outgoing mail for the AFS/TFS as requestedAssist maintaining calendar entriesOrder department office/kitchen suppliesOrganize and schedule meetings, preparing materials when necessary for all participantsDuring External Audit season, produce and route correspondence to and from External Auditors, as directedProcess corporate documents on behalf of the department via Legal database as needed.Handle department notary duties as needed.Maintain the Out of Office database for the departmentMaintain Smartdata for the department corporate cardMaintain department lists upon any changes in personnel or officer appointmentsBack up for mail: sorting and drop offDepartment Logistics: coordinate special events for departmentMaintain Territorial Command Personnel ListingMaintain minutes for standardization meetingsMaintaining and procuring of office equipment as needed.Qualifications:Associate's degree1-3 years of related experienceExcellent Communication skills, both oral and writtenDiscretion and high level of confidentiality are imperativeAdvanced technical skills: Word and ExcelKnowledge of PowerPoint, Publishers, Adobe Acrobat, Lotus Notes, TSAMMAbility to work independently and with initiativeAbility to multi-task and prioritizeSound judgement and a calm, professional demeanorNotary - a plusWhat We OfferGenerous Medical, Dental, Vision BenefitsTSA paid Life Insurance for EmployeesAdditional life insurance options for employeesOn-site cafeteriaPaid Time Off - Vacation, Sick, Personal days403(b) retirement savings planNon-contributory Pension PlanProfessional DevelopmentEducation AssistanceFree, on-site Fitness CenterFederal holidaysOpportunities to give back and support our communities All qualified applicants will receive consideration for employment without regard to race, color, sex, national origin, disability or protected veteran status.
