Windham Mountain Resort STAFF HOUSING ASSISTANT MANAGER in Windham, New York

Overview of Position: As an integral part of the HR team, the Staff Housing Assistant Manager (AM) is responsible for ensuring the orderliness, cleanliness, and safety of the Hamilton House Staff Housing operation and other Windham Mountain Club staff housing properties. During winter season, the AM is responsible for the overall housing experience of the international student visa workers. The AM is also responsible for successful management of the available housing business during spring, summer and fall seasons, booking and selling available rooms to individuals working in Windham and the surrounding mountaintop communities during these seasons, maximizing occupancy levels and building community relationships.

    Job Duties: The list below best represents many tasks you will be asked to perform at some time during your employment here at Windham Mountain Club (WMC). We cannot predict all the challenges that we may face in providing exceptional service and experiences to our team members and guests, so additional duties and responsibilities may be added as needed.

    Administrative/Maintenance/Safety:

  • Conduct all business in accordance with Windham Mountain Club policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and New York State laws.

  • Ensure housing agreement files are complete and that completion of agreements are being executed properly.

  • Responsible for establishing office hours, being available as scheduled, and condition of space used.

  • Attend scheduled meetings, usually held on a weekly basis.

  • Maintain records on all aspects of housing activity on a daily, weekly, and monthly basis. Submit required reports on at least a monthly basis.

  • Report all liability and housing community incidents to Security, HR and Patrol immediately. Ensure any workers’ compensations claims are reported in same manner so that proper paperwork is completed.

  • Physically walk and inspect housing community on a regular basis; check on vacant units.

  • Coordinate with maintenance and facilities cleaning staff to ensure timely condition of apartments after move-out.

  • Work closely with maintenance team to monitor and schedule all maintenance activity.

    Financial:

  • With support of the Director of HR, the AM will assist in formulation of budgets for each upcoming calendar year. The AM is responsible for staying within the established budget guidelines throughout the year.

  • Actively maintain and report monthly variances and narratives.

  • Ensure that all housing agreement fees are collected when due and posted in a timely manner. Ensure any bank deposits are made immediately and deposits are reported to the accounting office on a daily basis.

  • Constant vendor/contractor communications concerning work scheduling, billings, vendor relations and certificates of insurance. The AM is responsible for approving and submitting all invoices in accordance with company procedures

  • Makes housing rental rate recommendations

    Resident Relations:

  • Maintain a positive customer service attitude.

  • Initiate and implement policies/procedures to maintain resident communications; e.g., complaints, service requests, etc.

  • Maintain a high level of visibility within the housing community.

  • With HR, lead and participate in housing community events.

    Job Qualifications:

  • University/College Degree Preferred

  • Prior experience in on-site property management, lodging front desk or other related fields preferred

  • Software system maintenance and data management

  • Experience working remotely

  • Valid US Drivers License with driving record that meets WMC insurance guidelines

  • Microsoft Office Suite knowledge required; RTP and RoomMaster experience a plus

  • Must be available on nights, weekends and holidays for housing needs and emergencies

  • English strong written and verbal mandatory

    Work Schedule and Conditions: We are in the business of providing exceptional service and experience for our team members, their families and guests. Our busy periods are weekends and holidays over the winter season which we are expected to work. You may also expect to be asked to work extra hours or days on occasion, especially during the holidays.
