Consumer Reports Associate Director, Facilities Management in Yonkers, New York

The Associate Director, Facilities Management will have responsibility for planning, prioritizing and directing a full range of operational activities of the facility. The Associate Director will promote and foster effective working relationships with facilities staff ensuring uniform standards of operations and maintenance. Will oversee and coordinate services provided by contract suppliers.

Manage, train, motivate and develop facilities team providing objective coaching and counseling to ensure high standards of work, customer service and timely activity completion in a safe and fully compliant manner.

Coordinate with Director to plan, prioritize and direct the full range of internal activities related to maintaining, servicing, cleaning, repairing and upgrading building equipment and systems. Oversee scheduling, operation, monitoring of building and systems, to ensure efficiency of operations and compliance with best practices.

Develop effective preventative maintenance, testing, inspection and repair procedures and standards for all equipment and systems, recommend equipment upgrades and strive to implement innovative programs and processes that reduce short and long term operating costs and / or increase productivity.

  • Manage projects as well as contractor compliance with project documents.

  • Coordinate the work of contractors, provide progress reports, contract correspondences, manage submittals, requisitions and change order process.

  • Maintain all project plans, applications, permits, and follow up items for review and historical documentation purposes.

  • Participate in infrastructure planning, facilitate changes and provide leadership, coordination and oversight in the execution and timely completion of capital improvement projects.

  • Formulate specifications and assist with the development of RFP’s, contracts, bidding, review, selection and negotiation processes for service procurement as needed.

  • Oversee implementation, quality and timeliness of the work

  • Work order management review.

  • Assist in the development of capital and operating budgets, monitor expenditures against plan and implement mid-course changes when necessary.

  • Support Lead Engineer in monitoring HVAC operations ensuring the continuous environmental comfort of occupants.

  • Manage Grounds staff and vendors in maintaining and repairing grounds equipment, systems, fleet vehicles and exterior grounds.

  • Maintain maintenance schedule and inspection records for all work, systems and vehicles.

  • Preventive maintenance and seasonal preparation for all equipment, vehicles and Garage Facility.

  • Scheduling tasks and ensuring all areas are in good repair including but not limited to: trees, planting & beds / lawns / parking areas / walkways / interior plantings / snow removal / shuttle services / exterior furnishings / patio / irrigation systems / athletic field / exterior events.

  • Evaluate performance and ensure all work is compliant and completed.

  • Coordinate special activities such as photo shoots, health fairs, event set up, and special vehicle accommodations.

  • Manage internal security department, vendor contracts and proprietary security operations.

  • Provide site guidance to security staff during non-core work hours; coordinate with local police and fire authorities for security/life safety issues occurring outside regular business hours and respond to operational problems as they occur.

  • Work closely with safety and security staff in matters of training, emergency preparedness, disaster recovery and ensuring a continuously safe and secure environment for all employees

  • Manage staff and vendors to achieve effective cleaning operations.

  • Implement and maintain quality control measures.

  • Administer contract requirements and deliverables.

Associates degree or equivalent from a two year college or technical school, Bachelor’s degree a plus. Minimum of eight years progressively responsible experience in facilities management and plant operations/ maintenance. Three or more years’ experience supervising a multi-disciplined maintenance and repair team utilizing an automated work order and preventive maintenance system. Peripheral knowledge of plumbing, electrical, carpentry, lighting, HVAC, fire detection and protection systems is highly desirable. Good working knowledge of critical electrical systems, emergency generators, transfer switchgear, UPS systems and building management systems. Hands-on working knowledge of CAD based architectural/database software. Solid interpersonal, organizational and communication skills, both written and verbal. Proficiency in Microsoft Office and G-suite.

Must have knowledge of standard safety practices for mechanical equipment and the ability to operate both light and heavy-duty grounds equipment. Must have and maintain a valid driver’s license.Must be able to operate a wide range of equipment and perform some physical labor, manages and participates in snow removal as needed.

Experience with general security concepts and methods such as vulnerability assessments, privacy assessments, intrusion detection, incident response, security policy creation, enterprise security strategies, architectures and governance. Knowledge of OSHA, Fire Department, and other regulatory body requirements for construction.
